SOLUTION / AI RECEPTIONIST

Your team is busy.
The phone still
needs answering.

An AI receptionist can answer incoming calls, collect the details, and get the right request to the right person.

We build voice agents around your services, availability, and handoff rules. Start with overflow or after-hours calls, without changing how your team handles the rest.

HOW THE WORK MOVES

A missed call can still become a conversation.

STEP BY STEP
  1. 01
    WHEN YOUR TEAM CANNOT ANSWER

    Greet the caller.

Introduce the AI assistant and ask what the caller needs.

  2. 02
    DURING THE CONVERSATION

    Capture the essentials.

Use approved answers and collect the details needed for a useful callback.

  3. 03
    WHEN A PERSON IS NEEDED

    Make the handoff.

Transfer when available or create a callback task with the conversation summary.

EXPLORE AN EXAMPLE

A routine question. Or a request for a person.

Try both call scenarios to see how the assistant hands the conversation back to your team.

INCOMING CALL / AFTER HOURSConversation example

NO ONE AT THE DESK

The caller still gets a next step.

Assistant“Hi, I’m Northline’s AI assistant. The team is away right now. How can I help?”

Caller“Can I get a quote for a group transfer?”

Assistant“I can take the trip details and your contact information so the team can get back to you.”

HANDOFF TO YOUR TEAM

Quote request with trip details

A callback task, not an unconfirmed price or booking.

Choose a scenario to see how the handoff changes.

WHAT CHANGES FOR YOUR TEAM

A useful first conversation.
Not another voicemail.

Give callers a way to explain what they need while your team is unavailable. Decide which questions the assistant can answer and which should stay with your people.

A DEFINED FIRST PROJECT

Start with calls you already miss.

Choose one number, one call type, and one coverage window. Test real scenarios with your team before routing customer calls.

AGREED BEFORE YOU COMMIT

  • Call script and approved answer sources
  • Phone integration and human handoff path
  • Tests for unclear requests and unavailable staff

You approve the deliverables, price, timeline, and running costs before paid work starts.

BEFORE WE BUILD

The practical details.

Can we keep our current phone number?

Often, routing or forwarding is enough. We check your provider, number, and transfer options before recommending the setup.

Can it book appointments?

If your scheduling system supports the connection, we can include availability checks and booking. The assistant should only confirm appointments after the calendar accepts them.

What happens when it cannot help?

We agree a fallback: transfer to someone, take a message, or create a callback task. It should not invent an answer or promise that a person is available.

Will callers know it is an AI assistant?

We build a clear introduction into the script. Disclosure, recording, consent, and retention requirements are reviewed as part of scoping.

What does it cost to run?

Phone, voice, AI, and platform charges depend on usage. We separate expected running costs from the build price in the proposal.
